Manage memberships

This guide provides an overview of how to manage your memberships. This includes tracking performance, viewing member details, and issuing refunds. 

Memberships Dashboard

To view a summary of your overall membership activity, go to the Memberships menu and select the Dashboard tab. This screen provides a high-level breakdown of revenue, purchasers, and performance across all memberships. 

  • Filter by Date Range: Choose from pre-set options or enter a custom range to view data for a specific time period. 
  • Gross Revenue: Total revenue generated from all membership sales during the selected date range. 
  • Memberships Purchased: The number of memberships sold across all types. 
  • Transactions: Total number of transactions related to membership purchases. 
  • Unique Customers: Total number of individual members (if one member buys multiple memberships, they are only counted once). 
  • Gross Revenue Lifetime: Total revenue from all membership sales to date. 
  • Gross Revenue and Transaction data is displayed graphically to help identify sales trends.  
  • Revenue by Payment Type (Pie Chart): Visualizes how many members paid online versus offline, giving you a quick breakdown of payment preferences. 
  • Memberships by Type (Pie Chart): Shows which membership types are the most popular at a glance, based on the number of purchases for each type.

Understanding the Memberships Table

From the Memberships menu option, select the Memberships tab. On this screen, we provide a comprehensive overview table of all existing memberships which can be filtered and sorted to meet your needs.

  • Membership Name: This is the name of your membership and will display on the membership card.
  • Price: The cost of the membership.
  • Enrolled: The total number of members currently enrolled in that membership.
  • Views: The number of times the membership page has been viewed.
  • Auto-Renew: Indicates whether auto-renew is enabled for the membership.
    • Displays ON if auto-renew is active.
    • Displays OFF if auto-renew is not active.
  • Renews To: Shows what the membership is set to auto-renew into, if auto-renew is enabled. Depending on your setup, you may see the following in this column:
    • Membership Name: The membership is linked and ready for auto-renewal.
    • Membership Name [draft]: The membership is linked but still in draft mode. It must be published (set to “live”) for auto-renewal to run.
    • Not Linked: No membership is linked for auto-renewal, so it will not renew automatically.
    • N/A: Displays if auto-renew is not enabled.

Membership Overview

To view detailed data for a specific membership, go to the Memberships tab, select the membership you want to review, and navigate to the Overview tab.

  • Filter by Date Range: Choose a preset date range from the dropdown or enter a custom range to view data for a specific time period.
  • Views: The number of times the membership page has been viewed during the selected date range.
  • Units Sold: The total number of memberships purchased during the selected date range.
  • Total Revenue: The amount of revenue generated from this membership during the selected date range.
  • Lifetime Views: The total number of views this membership page has received since it was created.
  • Lifetime Sales: The total revenue generated from all sales of this membership to date.

Viewing Your Member List

To view the list of members for a specific membership, go to the Memberships tab, select the desired membership, and navigate to the Members tab. Here, you’ll see everyone who has purchased that membership. The list includes the following details:

  • The ability to search for a member
  • Member Name
  • Member Email
  • Membership Number
  • State
    • Active
    • Cancelled
    • Refunded
  • Auto Renew
    • Displays ON if the member is opted into auto-renew
    • Displays OFF if the member is not opted in to auto-renew
    • Displays N/A if auto-renew is not available to members

Editing a Member’s Name

If a member requests a change to the name displayed on their membership card, admins can make this update through the Members list. To do this, go to the Memberships tab, select the relevant membership, and navigate to the Members tab. Click the edit icon next to the member’s name and update the First Name and/or Last Name as needed.

Notes:

  • This update only changes the name displayed on the membership card. It does not affect the member’s profile name, or any cards already downloaded. The updated card can be re-downloaded from the member’s profile.
  • To ensure the correct name appears on future memberships, the member should also update their profile name.
  • We recommend using this feature only for valid name correction requests submitted directly by the member.

Refunding a Membership

To issue a refund for a membership:

  1. Navigate to the Marketplace
  2. Select Orders and locate the order you wish to refund
  3. Click on the order, then select the Refund Order

Once the refund is processed, the member will no longer appear in your Members list by default. To view refunded or canceled memberships, toggle on the Also Show Canceled/Refunded option at the top of the Members list.

CommuniBee does not display active communities right now. If you are looking to view a specific community, you will need the community’s website URL.

Be sure to check your email to see if you received an invitation to the community; otherwise, you should contact a community admin for access.
